For IT and support teams working with vendors
Work a Jira ticket with your vendor, without emailing it back and forth
A defect in a vendor's product, an integration that stopped working, a hardware fault: the ticket is in your Jira, but the people who can fix it work somewhere else. Today that means email threads, screenshots, and copying the vendor's replies back into the issue. Collabound shares the ticket itself, with the fields you choose, and brings the vendor's answers back.
The problem today
- Vendor escalations live in email; the Jira ticket is a summary someone has to maintain.
- Attachments and logs are forwarded by hand, sometimes containing customer data that should never have left.
- Internal root-cause notes and the customer's name are on the same ticket you want to show the vendor.
- When the vendor asks "what is the status?", the answer is another email.
With Collabound
- 1
Register each vendor as a partner
Vendors you work with regularly become partner organizations. For a one-time escalation, share by secure link to an email address instead.
- 2
Share the ticket from Jira
Open the issue, click Share, pick the vendor. The template for vendor shares excludes customer identifiers, internal analysis, and related tickets.
- 3
Work it together
The vendor reads the description, downloads the logs you attached, asks questions in comments, and uploads a fix or a workaround. Each reply appears in the Jira issue for your team.
- 4
Close and keep the record
When the issue is resolved, revoke the share. The audit log records exactly what the vendor could see, which matters when customer data is involved.
A typical content access template
Partner sees
- Summary and description
- Status and priority
- Environment and version fields
- Logs and screenshots you attach
- Vendor-facing comments
Stays in Jira
- Customer name and contact fields
- Internal root-cause notes
- Linked internal tickets
- SLA and contract fields
- Anything from other vendors
Templates are defined by your administrators and applied to every share, so the same rules hold no matter who on your team shares.
What changes
Escalations get resolved on the ticket instead of in a mailbox. Your team sees the vendor's replies where they already work, the vendor sees one clean page instead of a forwarded thread, and you can prove afterwards what data was shared. No vendor ever needs a Jira seat or an Atlassian account.
